Billing Terms and Conditions

Last updated 26 October 2026. Summary of sections 25, 26 and 27 of the Warranty & Purchase Agreement, which is the binding document.

1. How and when you pay

Orders are paid in full before the equipment ships, unless we have approved other terms in writing on your invoice.

Method Notes
Visa, Mastercard, American Express, Discover Online or by phone
QuickBooks invoicing Pay link sent with your invoice
e-check / ACH See the authorisation note below
Wire transfer Details supplied on the invoice
Paper check 12-E Meem Avenue, Suite E, Gaithersburg, MD 20877

Wire and check fraud is real in this industry. We will never email you new bank details mid-order. If you receive a message that appears to be from us changing where to send money, do not act on it — call 888-866-2679 and confirm with a person first.

Bank account and check authorisation

Where you give us checking account details — on paper, electronically or by telephone — you are authorising a one-time debit for the amount shown on your invoice, and you confirm that you are an authorised signer on that account or have been authorised by one to provide the details. We will confirm the amount and the date in writing before debiting.

A paper check and the electronic presentment of that same check are treated identically, as provided for by the Check Clearing for the 21st Century Act, Pub.L. 108–100.

2. What is on your invoice

Your invoice is the governing document for your order. Where it and this page say different things, the invoice wins. It will show, separately:

  • The machine and its model number
  • Accessories, each priced individually
  • Delivery and installation
  • Removal of old equipment, where ordered
  • Warranty coverage included
  • Any discount applied
  • Sales tax, where applicable

An invoice is priced as one transaction. Where a machine was discounted and an accessory was not, the accessory cannot be returned on its own for full credit — the pricing was set against the order as a whole.

3. If something on your invoice looks wrong

Call us. 888-866-2679. Almost every billing question is settled the same day by somebody who can see the order. A dispute raised with your bank before we have looked at it adds weeks and does not fix the invoice.

Email sales@copier1.com with your invoice number and what looks wrong. We will tell you what we find, and correct it where we are wrong.

Nothing on this page asks you to give up any right you have under the Fair Credit Billing Act, under Regulation Z, or under the rules of your card network, and nothing here is intended to limit those rights. What we ask is that you come to us first.

While a specific item is being resolved, amounts on the invoice that are not in genuine dispute remain payable on the invoice terms.

4. Late payment

Interest accrues at 6% per year (0.5% monthly) on overdue balances.

5. Non-payment

Where a customer takes delivery and then fails to pay, any discount extended on that order is forfeited, and the amount pursued is the price published for that product on Copier1.com at the time of purchase.

For example: a machine listed at $1,995 and sold at a discounted $1,495, delivered and unpaid, is collected at $1,995 plus interest.

The customer is responsible for the reasonable costs of collection.

6. Leases

A lease is a contract between you and the leasing company; we supply the equipment. The leasing company releases funds to us only once you confirm delivery has happened, so you agree to give that confirmation promptly on delivery. Where confirmation is withheld, the balance becomes payable to Copier1 directly and immediately.

Lease payments themselves are governed by your lease agreement, not by this page.

7. Maintenance agreements

A maintenance agreement is a separate contract with its own billing terms. Non-payment under a maintenance agreement may suspend maintenance services; it does not affect the warranty coverage in the Warranty & Purchase Agreement.

8. Legal venue

This agreement is governed by the laws of the State of Maryland, and any legal action under it is brought in Montgomery County, Maryland. In any such action, the prevailing party is entitled to recover its reasonable attorneys' fees and costs.
